Aspire Property Maintenance Limited (“we”, “our”, “us”) collects and uses personal information in line with the New Zealand Privacy Act 2020 and its Information Privacy Principles. This policy explains what we collect through this website and when you contact us, why we collect it, where it goes, and what you can ask us to do with it.
Who we are

What we collect and why
When you ask for a quote
The quote form asks for your name, phone number, suburb and whether you are a homeowner, landlord, body corporate or business. You can also give us your email address and a description of the job. We use this to contact you about the job, to price it, and to book it if you go ahead. We also record which page you sent the form from and when, to help us spot spam.
We only contact you about the job you asked about. We do not add you to a mailing list from the quote form.
When you call or email us
When you call, we may keep a record of the number you called from and the time of the call, so we can call you back. When you email, we keep the email and our reply. If we ever record calls, we will tell you at the start of the call.
When we do a job for you
We keep the details we need to do the work and invoice it: your name, contact details, the property address, what was done, photos of the work, and the invoice. If you are a landlord, we may also hold your tenants’ contact details so we can arrange access.
When you browse the site
We use our own cookies to see how people find the website, for example from a Google search, a link on another site or an ad. They record the page you arrived on, the site that sent you and when, not your name or contact details. If you send us a quote request, that information is kept with it so we know which of our advertising works. It stays with us; we do not sell it or pass it on.
We may use analytics tools, such as Google Analytics, to see how people use the website: which pages are visited and how people find us. These tools use cookies and do not tell us who you are. You can block or delete cookies in your browser settings.
Where your information goes
When you send the quote form, your details go to:
- our own customer system, which keeps a record of each enquiry and how we followed it up;
- a private team chat channel, so the right person sees a new enquiry straight away.
Your details may also be added to Fergus, the job-management software we use to quote, schedule and invoice work. Once a job goes ahead, that is where its details are kept.
On a renovation or larger project, we may share your contact details and the property address with the licensed tradespeople we book for the job, such as electricians, plumbers or roofers, so they can do their part. We may also share information with government agencies or regulators where the law requires it. We do not sell your personal information.
Some of the software we use stores data on servers outside New Zealand. Where that happens, we choose providers that protect personal information to a standard comparable to the Privacy Act 2020.
How long we keep it
We keep personal information only for as long as we need it for the reason we collected it. Invoices and other financial records are kept for at least seven years, because New Zealand tax law requires it. When we no longer need information, we delete it securely.
How we protect it
Only the people in our team who need your information can see it. The systems that hold it are protected by passwords and two-factor sign-in, and information sent from this website to our systems is encrypted in transit.
Your rights
You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. Contact us at [EMAIL ADDRESS] or on 09 242 4092, and we will respond within 20 working days, as the Privacy Act requires.
If you are not happy with how we handle your information or your request, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
If something goes wrong
If a privacy breach happens, we will act quickly to contain it and assess the harm. If it is likely to cause serious harm, we will tell the Privacy Commissioner and the people affected, as the Privacy Act requires, and fix the cause.
